Manage your organization team

Invite members, choose partner permissions, and manage roles as the organization owner.

The organization owner manages the partner organization’s team. Use Team to invite colleagues and control what they can do in Partner Portal. Access to client stores is assigned separately.

Invite a team member#

  1. As the organization owner, open Team.

  2. Select Invite Team Member and enter the person’s email address.

  3. Choose the partner permissions they need for their work.

  4. Send the invitation. Ask the person to accept it using the invited account.

  5. Review Members after they join. Pending Invitations lets you follow invitations that have not been accepted.

Roles and permissions#

Role

How to use it

Owner

Manages the organization’s team and the actions reserved for the owner.

Admin

An owner can promote a joined member to admin when broader partner access is needed.

Member

Uses the partner permissions selected for that person.

Invitations start as members with selected permissions. Admins are promoted by the owner after they join. To update a joined member, use Edit Member and review the role and permission choices shown.

Partner permissions and store access#

A partner permission controls work in the portal, such as directory tasks or project enquiries. It does not automatically assign someone to every managed store. The organization owner must also assign store collaborators using the client’s approved store permissions.

For project enquiries, View Project Enquiries allows reading briefs; Edit Project Enquiries also allows changing their status. Give these permissions only to people who handle new business, because enquiries include merchant contact details.

Keep the team current#

  • Review member roles and permissions when responsibilities change.

  • Remove people who no longer work with your organization.

  • Check pending invitations for addresses that were entered incorrectly or no longer need access.

  • Review Settings and limits if you reach the organization’s member or store-assignment limit.

Invitations that need attention#

Pending invitations show the email address, permissions and expiry. Resend an invitation when the person needs another email; revoke it if the address or permissions are wrong, then send the correct invitation. Accepting an organization invitation does not assign the person to client stores.

Before removing someone, review the transfer stores they own. Complete their handoff or deletion before removing the store owner. Removing a team member also removes their client-store collaborator assignments and credentials. Inviting them back does not restore those assignments; assign approved access again. Never share a sign-in code or password.
